Since mid-September 2019 we offer you further options for managing your attendees with a more comprehensive online overview. Also included is a new and more detailed list of attendees, which you can download as an Excel or CSV file.
To call up the attendee overview, go to the detail page of your event and click on "Attendees" in the middle.
1. Online view
At the top of the page you can see the overview of the individual booked ticket categories with the respective attendee status. Below you will find a list of all registered attendees - the number corresponds to the tickets booked so far.
Important: If you have not asked for attendee data during the booking process, the fields "Name" and "Organisation" in the overview will remain empty and will not be filled in using the booker data as done before. In most cases the attendee data is more relevant for the planning and the evaluation of an event than the booking data. We therefore recommend that, in addition to the mandatory details at the booker level (which are necessary for sending the booking confirmation and/or invoice), you also request at least the name and e-mail address at the attendee level (per booked ticket). All information about booker and attendee questions can be found here.
1.1. Filtering the attendee overview
If you only want to see specific attendees, such as only active attendees who have already paid or only attendees who have given a specific answer to a question, you can filter the attendee overview using the link "Additional search options".
1.2. Check-in function
In the penultimate column "Check-in," you can check-in and check-out attendees manually. If you are using the doo standard check-in solution for your event, where you can scan the QR codes on the attendee tickets with any scanning app to check in the people on-site, this function offers you an alternative to that. If, for example, an attendee does not have his or her ticket, you can search for him or her from the overview using their name or e-mail address and check them in. As with check-in by scanning, the particular check-in time is automatically added to the attendee list.
All information about the doo standard check-in solution can be found here.
1.3. Collective activities
You can use the checkbox at the very front of the line to select several attendees at once to then perform certain actions. For example, you can check in multiple attendees at once, add them to a contact group, remove them from a contact group or export the selection as a CSV or Excel file.
1.4. Additional functions
Using the three dots at the end of each line, you'll get further options:
1.4.1. Opening the booking details
Call up the associated booking, e.g. to view or edit the complete attendee data via the booking details page. For instructions on how to edit attendee data, click here.
1.4.2. Downloading ticket/name tags
Download the ticket or name tag of the attendee as PDF.
1.4.3. Opening associated contacts
Insofar as the attendee is connected to a contact in the contact center, you can call up this contact, e.g. to view the complete contact details and any previously made bookings.
1.4.4. Changing associated contacts
If an attendee has not yet been assigned to the desired doo contact, e.g. because he or she entered a new e-mail address at the time of booking, you can change this later using this function.
Once you have selected the option, you can use the search to find the contact to which you want to assign the attendee and confirm the assignment.
1.4.5. Opening the check-in confirmation page
If you have ordered an individual check-in confirmation page from doo, to use for e.g. printing your name badge on-site, you can also access it via the attendee overview.
2. Adding attendees
You can manually register additional attendees yourself by clicking on the "Add attendee" link at the top right of the page. All information on manual registration can be found here.
3. Downloading the attendee list
You can download your current attendee list as a CSV or Excel file at any time by clicking on the "Export attendees" link. If you have filtered the overview using the additional search options, only the data from the filtered view will be exported.
What exactly the attendee list looks like and how it differs from the booking overview can be found here.
