If you invite your contacts through a unique personalized access code or via email message, the booking process can be pre filled with the in doo available contact data. Hereby the booking process will be shortened for your bookers, which is more comfortable for them and is reducing the dropout rate. You can also take the opportunity to review and update your inventory data through the bookers.

1. Activate data prefill
1.1 Personalized access codes
After you've created unique access codes, you have the option to personalize them by assigning the codes to a contact group, though which every contact of this group get an unique access code. You can then set the existing contact information to be automatically prefilled after the booker enters the code and selects the desired ticket.
1.2 Email messages
In order to set the prefill of contact data in the booking process through the delivery of email messages, go to the message detail page and set a hook for "Prefill questions in the booking process with available contact data". Now you can decide whether the contact data at attendee questions, booking questions or both should be prefilled .
Requirement for the prefill is, that your email contains an invitation link. Otherwise the settings won't be displayed. More about creating email messages via do can be read here.
1.3 Difference between booker and attendee data
When you've activated the pre fill, you can adjust if the data should be taken over on booker and /or attendee level.
By pre filling booking questions, the data of the booker or invoice recipient will automatically be transmitted in the form. But if you decide to pre fill attendee questions, only the data of the first attendee of the booking will be transmitted. Pre filling data of more attendees in one booking is not possible.
2. Which data can be prefilled
All doo standard queries such as name, email address, organization and address of the contact can be pre filled.
Additionally you can adjust own data fields for your doo contacts and connect them with booking and attendee questions. The attendees or bookers answer to these questions will not only be saved in the attendee or booking overview of the respective event but also across all events in the doo contact center. In this way you can, for example, enrich your master data with information about the industry affiliation, position or interests of a person.
2.1 Prefill custom questions with contact data fields
If you want to work with own data fields, in order to pre fill the booking process also with non-standard questions, they have to be adjusted manually through the contact import in your contact center. Here you can see how to create new data fields in doo.
In the third step of the event creation ("Attendee data") you can adjust a custom question and map it with the respective data field.
When the question was mapped to a data field, the in your contact center adjusted data for this data field will be additionally pre filled as a standard query in the booking process. The pre fill can not be activated or deactivated for single queries: Insofar as the data is available for the contact, all questions connected with the contact center are always pre filled at the selected booking or attendee level.
The other way around, the answers that were entered by the booker will not only be taken over into the booker or attendee list, but will directly transmitted to the contact center. How to define, what happens if pre filled data will be edited by the booker, you can read in the following section.
3. Editing pre filled data by the booker
3.1 Adjust the possibility of editing pre filled data
In the third step of the event creation under "Advanced settings" you can adjust, if or which pre filled data can be edited by the booker.
If you deactivate the possibility of editing the data, it can only be booked with pre filled data. The invited person has therefore the option to use his invitation for a third person. This could be useful, if you want to be sure that only by you invited people can register and the invitation can't be forwarded. Empty fields can also be entered if the editing is blocked. They will be automatically saved in the contacts.
Also here you have the possibility to define, if only attendee data, only booking data or both attendee and booking data should be editable. If you e.g would like to make sure that only invited person come to the event but you want to edit the invoice details, you can pre fill booking as well as attendee data but only block attendee data for the editing.
In this context you should also decide whether, in case of edited email addresses, the respective booking should stay linked to the originally invited contact or not (see 3.2 in this article).
